Front Office Executive

The Front Office Executive manages the reception area, handles administrative duties, and ensures a smooth, welcoming experience for patients and visitors. This role involves greeting guests, managing appointments, coordinating with hospital departments, and maintaining a professional front-office environment.

Key Responsibilities:

Reception & Patient Assistance:

  • Welcome and assist patients, visitors, and staff, providing information and directions as needed.
  • Manage patient registrations, appointment scheduling, and follow-ups efficiently.
  • Professionally handle incoming calls, emails, and other correspondence.
  • Maintain a clean, organized, and professional reception area.

Administrative Support & Coordination:

  • Maintain accurate patient records and ensure timely data entry in hospital systems.
  • Coordinate with doctors, nurses, and other departments to ensure smooth operations.
  • Assist with billing inquiries and payment processing.
  • Manage courier services, office supplies, and other administrative logistics.

Customer Service & Communication:

  • Provide clear and courteous information regarding hospital services and policies.
  • Address patient concerns and escalate issues to the appropriate authority when needed.
  • Assist international patients with necessary documentation and procedures.

Team Collaboration & Compliance:

  • Collaborate with medical and non-medical staff to ensure efficient operations.
  • Adhere to hospital protocols and maintain strict confidentiality.
  • Participate in training sessions to improve service quality and communication skills.

Qualifications & Skills:

  • 1–3 years of experience in front office operations, customer service, or hospital reception.
  • Strong organizational and multitasking skills to efficiently handle high patient flow.
  • Proficiency in MS Office, hospital management systems, and appointment scheduling software.
  • Ability to remain calm and professional in high-pressure situations.
  • Bachelor’s degree in Hospitality, Business Administration, or a related discipline.
  • Diploma or certification in Front Office Management or Hospital Administration is an added advantage.
